Offline Marking and Uploading Feedback

This guidance is for marking submissions made to a Moodle Assignment.

Markers who prefer offline marking can download student submissions, review and annotate them on their device, then upload feedback and grades back into Moodle.

Offline marking is not compatible with Rubrics or Marking Guides; these must be completed online.

Step 1: Download all submissions (file or folder)

  1. From the assignment, go to the Submissions tab.

  1. Click the blue Actions button and select Download all submissions. If you would like the submissions to be organised into individual folders, check the box labelled Download submissions in folders before downloading. This option is helpful if you plan to upload feedback files later (see Step 2).

  1. Submissions will download as a zip file. Unzip the folder by right-clicking it and selecting extract all.

  2. Submission files and folders are named by unique participant number (if anonymised) or student name (if not anonymised).

  3. Do not rename files or folders, as Moodle requires the original format for re-uploading.

Step 2: Mark submissions and upload feedback

There are two options for marking offline:

Upload Feedback Files

  1. Markers can annotate submissions (e.g. in Word using Track Changes, or a PDF editor).

  2. Markers can also create separate feedback files (for example marking sheets, audio or video feedback files) and save in student’s folder. This requires submissions to be downloaded in folders.

  3. Once marking is complete, the feedback files must be compressed into a zip file and uploaded back to Moodle via the Upload feedback files in a zip option from the blue Actions button.

  1. Moodle automatically matches each feedback file to the correct student, making it an efficient way to return annotated work.

Use grading worksheet

  1. This option is useful when markers want to enter grades and written feedback offline in a spreadsheet format.

  2. From the Submissions page, click the Actions button and select Download grading worksheet.

  1. The worksheet includes columns for student details, grades, and feedback comments. Rows and columns should not be moved or renamed. Markers can fill in the grades and feedback directly in the spreadsheet while offline.

  2. Once completed, save the file (as CSV) and upload back into Moodle. From the Submissions page, click the Actions button and select Upload grading worksheet.

Warning: Uploading a grading worksheet will overwrite any existing marks and summary feedback.

  1. Moodle imports the grades and comments into the assignment grading interface. This method is particularly helpful for large cohorts, as it enables bulk entry of marks and standardised feedback.

Tip: The grading worksheet supports HTML mark up if you wish to include headings, bold text and paragraphs etc. in your feedback.
