Releasing or Hiding Grades and Feedback

 

Overview

Three conditions need to be met in order for grades and any feedback that has been shared with students to be released:

  1. The marking period and any optional publication dates on the flow must have passed.

  2. Grades must have been finalised.

  3. For releasing grades: the “Show final grades” setting must be ticked (this is now ticked by default).

If all three conditions are met, grades and/ or feedback will be automatically released to students. Grades can be shown or hidden by a Manager at any time on an active (i.e. non-archived) flow.

Note: in order for feedback to be released on a summative flow, the grades must have been finalised, regardless of whether they are being shown to students or not. This is the only way that WISEflow knows marking has been completed.

Feedback can also be shown or hidden at any time on active flows, but the sharing settings for individual pieces of feedback will need to be managed by the Marker or Reviewer who originally delivered them.

Releasing Grades

Finalised grades are displayed in the Participants list under the Final grades tab. Where grades have been finalised, the Marking status and Grade columns will be populated by a rosette symbol and the value of the final grade:

Additionally, the Show column will display a ticked box in cases where the finalised grade will be made visible to a student once marking has finished:

Hiding Grades

If finalised grades should not be seen by students in WISEflow, these can be hidden by adjusting the flow settings.

  1. Access the flow in the Managing role. Under the Marking and review panel, click on Manage settings:

  2. Click the pencil button and disable the Show final grades setting:

Sending Grades back to SITS/ Portico

Important: Grades cannot be sent back to Portico via WISEflow and will need to be added to Portico manually if the source information is missing:

The flow must be in the concluding phase (i.e. the marking period must have ended) before you can send grades back from WISEflow to Portico.

  1. Access the flow in the Managing role. Scroll down to the Participants list and click Tools > Export grades:

  1.  On the grade export screen is a larger grade export table which displays key information about the date and time students submitted, their final grade, the date that the grade was finalised and whether the submission was late.
    If grades are available to export, you will be able to click the green Export grades to external system button:

  2. Once clicked, the number of grades queued for export will be visible in the Information about export panel. You can click the Update button to refresh this table and see how the export is progressing.
    Successfully exported grades will be displayed in the Exported column (1), as well as being reflected by green cells with the date and time that the grade was exported in the final column of the Grade export table (2) below:

  3. Grades that have failed to export will be displayed in the Failed column and will be reflected by red cells with the date and time that the grade was exported in the final column of the Grade export table:

Troubleshooting Failed Grade Exports

If the integration information is present in WISEflow and all marking deadlines have passed (i.e. the flow is in the concluding phase), the issue is likely to be something in SITS/ Portico.

One reason that grades may fail to export is if a grade already exists for the assessment in SITS/ Portico. The existing grade(s) will need to be removed from SITS/ Portico before new grades in WISEflow can be successfully exported.
If the grades have failed to export for another reason, you will need to query this with the appropriate team:

Depending on the nature of the issue, you may ultimately have to enter the grades into Portico manually.

Release of Feedback

Any feedback that has been shared with the student by a Marker or Reviewer will automatically be available for them once the three conditions outlined at the top of this guidance page have been met. Alternatively, you can enable early release of feedback which will give markers the ability to choose to release feedback to students before the marking period has ended.

Early Release of Feedback

Note: Don’t worry - enabling this setting will not release feedback automatically for all students earlier than expected. Instead, it allows academics to choose whether they want to release feedback to individual students before the marking period has ended. That said, you will probably not need to use this setting in the vast majority of assessments.

  1. Access the flow in the Managing role. Under the Marking and review panel, click on Manage settings:

  2. Click the pencil button to enable the Allow early release of feedback setting. Tick the box and click Save to finish.

Setting a publication date/ delaying grade and feedback release (optional)

If you want to delay the release of grades and feedback for students without extending the marking deadline, you can set a publication date on the flow. The option to show final grades must be enabled in order to add a publication date.

  1. Access the flow in the Managing role. Under the Marking and review panel, click on Manage settings:

  2. Click the pencil button to edit the Show final grades setting:

  3. On the menu that appears, enable the Show final grades setting if necessary and additionally tick the box to enable a publication date. Once ticked, you will be able to use the input fields or the calendar to define the date and time that grades and feedback should be released:

  4. Click Save to finish. The publication date will be denoted on the settings page by a blue label displaying the date and time that was set:

Troubleshooting Visibility of Grades and Feedback

If students are advising that they’re unable to see their grades and feedback in WISEflow, it is probably because one of the three conditions outlined at the top of this guidance page have not been met.

If a single student is reporting an issue, check to see whether there is an individual marking deadline in place (see Setting Deadlines for more information).

If students are able to see their finalised grades but there are complaints specifically about not being able to see feedback, markers may need to adjust the sharing settings for any feedback they have delivered. Identify the markers that were allocated to the affected student(s) and ask them to check this, following the relevant guidance on Adding Grades and Feedback to make any changes.
