Allocating markers to student submissions

Important: it is best practice to only allocate markers to students that they will actually be entering a grade for. Adding unnecessary markers will prevent final grades from being suggested or calculated. This can cause additional work where grades are finalised by a Reviewer and will actively prevent grades from being finalised if this is being done via marker agreement or if an advanced marking workflow like rubric-based marking is in use.

If a member of staff just needs oversight of the existing grades and feedback, add them to the flow as a Reviewer instead.

Note: This guidance should be followed if a flow is using a standard marker allocation or rubric-based marking. If the flow is using the item-based marking workflow, see Setting up Item-Based Marking.

All of the options for allocating student submissions described below can be found by accessing the flow (assessment) as a Manager and clicking Manage assessors under the Marking and review panel:

Allocating a marker to all students

  1. In the Assessors table, click the people icon in the Actions column to allocate a marker to the entire cohort of students:

Tip: you can hide a lot of unnecessary columns in the Assessors table by using the toggle columns button in the upper right corner of this table:

Quick Allocation

This method can be used to rapidly allocate first markers to some of the cohort. Second markers will need to be allocated through other means.

  1. In the Work distribution table, click Quick allocation:

  2. Using the search bar, select the names of the markers that you wish to allocate to students. You can now choose to allocate markers freely, or to allocate as work distribution (recommended).

  3. Use the input fields to indicate what percentage of the cohort each marker should be allocated to and click Save to finish.

Allocating a marker to specific students

Using the Work Distribution table

  1. Click the relevant cell in the Assessors column of the Work distribution table and search/ select the appropriate marker(s) from the list.

  2. Click Save to finish. Continue until all students are allocated.

Tip: Sorting this table via the Allocations column is a useful way to check that all students have been allocated the correct number of markers.

Using the Allocation Matrix

This method of allocation is particularly useful for managing large marking teams where allocation to specific students is required.

  1. In the Work distribution table, click Allocation matrix:

  2. Select the relevant cell in the table to allocate a student to a marker. The cells will be filled with colour to indicate that a marker has been allocated:

  3. Continue until all students have been allocated and click Save at the the bottom of the table to finish.

Tip: If you prefer to work offline, there is an option to Export to Excel in the upper left of the Allocation matrix:

You can then import this information back into WISEflow.

Additionally, sorting this table via the Allocations column is a useful way to check that all students have been allocated the correct number of markers.

Checking marker allocations

Below are two methods for quickly and loosely checking whether students have been allocated to markers. For more detailed checks, look at the Work distribution table or the Allocation matrix.

Checking via the Marking and review panel

Clicking on the Assessors label in this panel will provide a summary of all markers on the flow, what custom assessor type they are using (i.e. Anonymous marker, Open marker, etc.) and how many students they have been allocated to:

Checking via the Flow Overview

On the flow overview, locate the relevant assessment and click the Subpage navigation button. The subpage navigation menu that appears will display information on how many active students are enrolled (Participation monitor) and how many students have been allocated (Assessor distribution):

Tip: if there is a discrepancy between the number of students listed in the Participation monitor and the figure shown in Assessor distribution, you can click on Assessor distribution in this menu to be taken directly to the page where markers are allocated.

Changing or removing marker allocations

Important: If item-based marking has been set up on the flow, there is a separate process for transferring marking progress to another marker, see Changing Marker Allocations (Marker Transfer).

WARNING: Take extra care when changing marker allocations during the marking period. If a marker is removed from a student submission:

  • Their entered or submitted grade will be erased. If the grade was submitted, there will still be a record of this in the audit trail but it is time consuming to recover. If the grade was only entered, it will be lost forever.

  • Feedback delivered via annotations or comments will still be stored and may be released to the student at the end of the marking period, depending on the sharing settings. The feedback cannot be edited or deleted unless the marker allocation is restored.

Change or remove marker allocation from specific students

Via the Work distribution table

Find the relevant student in the Work distribution table and click on the appropriate cell in the Assessors column. Hover over the name of the marker you wish to remove and click the X symbol. You can select another marker to replace them, if needed, and click Save to finish.

Via the Allocation matrix

In the Allocation matrix, simply click on the appropriate coloured cell in the table to remove the marker allocation. The marker can be replaced by selecting another marker’s cell to allocate, if needed. Click Save at the bottom of the table to finish.

Remove marker allocation from all students

Please heed the warning at the top of this section and only do this if it is absolutely necessary! Make sure you are aware of the potential consequences.

To quickly remove a marker’s allocation to all students, click the No symbol in the Assessors table:
