Unlocking Grades
This guidance explains how Managers can unlock finalised grades in a flow (assessment) that uses standard marker allocation (i.e. the majority of cases). If the flow in question is using an advanced marking workflow, different processes are in place and you may find the following guidance useful:
Rubric-Based Marking: Unlocking/ Changing Rubric Scores
Item-Based Marking: Unlocking/ Changing Item Scores
Overview
Managers can unlock grades that have been finalised to allow them to be edited again by the user responsible for finalising (usually a Reviewer).
Symbol | Grade State | Meaning |
|---|---|---|
Not submitted | The marker(s) allocated to this student have not submitted a grade. There may still be an entered grade which can be edited by the marker. | |
Submitted | At least one marker allocated to the student has submitted a grade. Alternatively, the Reviewer responsible for finalising grades has entered an overall grade but has not yet finalised it. Additional steps need to be taken by the user(s) responsible for reconciling and producing the final, overall grade. You can click on this symbol to see which user has submitted a grade. | |
Finalised | The final, overall grade has been recorded for this student. This grade is now ready to release and/ or send back to Portico. |
Finalised grades are displayed in the Participants list under the Final Grade tab. Where grades have been finalised, the Marking status and Grades columns will be populated by a rosette symbol and the value of the final grade:
Unlocking individual grades
To unlock a finalised grade:
Acess the flow in the Managing role and scroll down to the Participants list. Click the Final Grade tab and then click the rosette symbol in the Marking status column for the grade you wish to unlock:
A warning message will appear in the middle of the screen. Tick the box to confirm you wish to unlock the grade and click Proceed.
The rosette symbol will be replaced by a padlock symbol (either open or closed, depending on who is finalising the grades) in the Marking status column, indicating that the finalised grade has now been returned to an editable state.
Resetting all grades on the flow
WARNING: Resetting all grades on the flow will cause all entered, submitted and finalised grades to be deleted.
There will still be a record of any submitted or finalised grades in the flow’s audit trail, but recovering these will be a lengthy and difficult process. Entered grades cannot be recovered.
It is strongly recommended that a Reviewer with permission to decide the final grade downloads a copy of the grade sheet before these steps are followed.
Proceed with caution and only use this function when necessary!
In cases where all the grades on the flow need to be removed:
Access the flow in the Managing role. Click the burger button in the upper right corner and select the option to Reset grades:
A warning message will appear in the middle of the screen. This is your last chance to close the warning message or click cancel if you do not want to delete all entered, submitted and/ or finalised grades on the flow. If you wish to continue, tick the box and click Proceed.
All entered, submitted and finalised grades will now have been deleted.
Troubleshooting
Managers can only unlock finalised grades. Grades that have been submitted but not yet finalised are denoted by a closed padlock symbol in the Marking status column:
If the flow has been set up so that grades are finalised by a Reviewer (this is the default), the Reviewer with permission to decide the final grades can unlock a submitted grade. Alternatively, the marker that submitted the grade in question may still be able to withdraw it themselves.
If the flow has been set up so that grades are finalised by marker agreement, the marker that submitted the grade should be able to withdraw it.
