Sending Emails and Direct Messages

Overview

When a flow (assessment) is activated, WISEflow sends a number of automated emails to enrolled staff and students, including initial notifications that the assessment is available and deadline reminders.

Managers can access the flow and click the Messages button in the upper right corner to be taken to the Message centre.

In the Message centre, all messages that have been sent from the flow are shown in the Sent column on the left hand side of the flow’s message timeline. Messages that are going to be sent at a future date and time are displayed in the Scheduled column on the right.

You can view the details of any messages sent from WISEflow by clicking the preview button to show content.

Disabling Emails on the flow

  1. Access the flow as a Manager and click the Messages button in the upper right corner to be taken to the Message centre.

     

  2. Click on the burger button for any message that is in the Scheduled column.

     

  3. Untick the checkbox for the Send message setting and click Save to finish.


    Repeat these steps as needed to stop automated messages being sent from the flow.

Sending Custom Emails from the flow

Note: Messages from WISEflow can only be sent to all users in a given role, not specific individuals (e.g. you can send a message to all Markers, not just one or two people in the marking team). Do not send any communications containing personal or sensitive information via a custom email in WISEflow.

Sending customised emails from a flow is a useful way to communicate specific assessment instructions (e.g. to students for group projects or to a marking team), or to notify students that their grades and feedback are available.

  1. Access the flow as a Manager and click the Messages button in the upper right corner to be taken to the Message centre.

     

  2. In the Message centre, click the blue Create email message button in the upper right corner.

     

  3. You will be taken to a page for scheduling custom messages. Click Edit content to compose your custom email. Give the email a Message subject and add any Message content below. You can also use the Insert dynamic field feature to populate the email with contextual information (e.g. the user’s name, title of the flow, deadlines). Click Save to finish.

     

  4. Next, select which recipients the message will be sent to, based on their role(s) on the flow. Mutilple roles can be selected. Finally, you can tick the checkbox to send the message immediately, or alternatively use the date field or calendar button to schedule the message to be sent at a later date/ time. Click the Send message or Schedule message button to finish.

     

  5. You will be taken back to the Message centre page, where your custom email can be viewed in the flow’s message timeline. You can click the preview button to show the content of the message, or the bin button to delete a scheduled custom message that is no longer needed.

Sending Direct Messages

Note: Direct messages from WISEflow will be sent to all participants (students) on the flow, not specific individuals. Do not send any communications containing personal or sensitive information via a direct message in WISEflow.

Direct messages can be used for one-way communication with students on a flow. They will appear as pop-up messages in the middle of the screen in WISEflow, which students must acknowledge. These can be a useful way to make silent announcements during an exam, e.g. with corrections or clarifications to the exam questions. Both Managers and Head Invigilators can send direct messages.

  1. Access the flow as a Manager and click the Messages button in the upper right corner to be taken to the Message centre.

     

  2. In the Message centre, click the Direct messaging button in the upper right corner.


    Alternatively, the Direct messaging page can also be accessed via the Direct messages button in the Participation Monitor.

     

  3. On the Direct messaging page, click New direct message.

     

  4. Choose whether to send the message immediately, or schedule it for a specific date/ time. Add the Message content and click the green Send or Schedule button to finish.

     

  5. The direct message will appear as a pop-up in the middle of the screen for students that have accessed the flow. They will need to click Close to acknowledge the message before they can continue with the assessment.

     

Viewing Direct Message Reports

  1. Access the flow as a Manager and click the Messages button in the upper right corner to be taken to the Message centre.

     

  2. In the Message centre, click the Direct messaging button in the upper right corner.

     

    Alternatively, the Direct messaging page can also be accessed via the Direct messages button in the Participation Monitor.

     

  3. On the Direct messaging page, any direct messages that have been sent to students are visible under Posted messages, along with the percentage of the cohort that has acknowledged the message. You can click the preview button to view a detailed report of which specific students acknowledged the message, along with the date and time of acknowledgement.
