Attaching an Exam Paper, Assignment or Supporting Material

Attaching an Assignment (FLOWmulti)

Before you start: You should have been provided with a reference code for a published flow version of the FLOWmulti assignment, e.g. 2915d993-288f-445c-864c-55eb5d6152d6

If the author of the assignment/ exam paper has not given you a reference code that resembles the example above, direct them to our guidance on Finalising your FLOWmulti exam paper (creating a Flow Version). If any changes are made to content in a FLOWmulti assignment, the author will need to provide you with a new reference code to replace the existing one.

  1. Access the flow as a Manager and click the To be handed out tab. If you are attaching an assignment for the first time, you can click the + button, otherwise click the Manage assignments button.

  2. On the next screen, paste the reference code into the text field in the Assignments area and click Attach.

  3. The attached assignment will now be displayed in the Assignments area and is automatically allocated to all students on the flow. If desired, you can click on the eye button to access a preview of the assignment as it will appear to students. The assignment will be visible to students once the flow is activated and the participation start date/ time is reached.

Attaching Multiple Assignments (FLOWmulti)

Up to 20 unique assignments can be added to a FLOWmulti type flow by the manager.

  1. Access the flow as a Manager and click the To be handed out tab. If you are attaching an assignment for the first time, you can click the + button, otherwise click the Manage assignments button.

  1. Click on the cog icon alongside the Individual assignment setting.

  1. Tick the checkbox Enable multiple assignments and then Confirm.

  1. Enter the reference code of the assignment flow versions you wish to add.

  1. Assignments will display below. If you wish to change view, click the Toggle assignment display as table button.

Note: All assignments must have the same minimum and maximum score. The minimum and maximum scores are set when the first assignment is added and can be seen at the top of the screen.

Note: It is not possible to use item-based marking or the legacy marking tool when multiple assignments is enabled.

Attaching an Assignment (all other flow types)

  1. Access the flow as a Manager and click the To be handed out tab. If you are attaching an assignment for the first time, you can click the + button, otherwise click the Manage assignments button.

  2. On the next screen, click Create new assignment. The assignment creation sub-menu will appear. Upload the assignment (1, PDF format only). If there are any additional files that are part of the assignment, these can be uploaded as Appendix material (2). These can be any file type.

    The assignment will automatically be allocated to all students. Optional: if you have multiple different assignments that should be distributed to students, untick the checkbox (3) and see Distributing Multiple Assignments for further information. Finally, click Save to finish.

    Repeat this step as necessary if adding multiple assignments. The assignment(s) will be visible to students once the flow is activated and the participation start date/ time is reached.

Distributing Multiple Assignments

  1. Access the flow as a Manager and click the To be handed out tab. Click the Manage assignments button.

  2. Scroll down to the Assignment distribution table. There are three different methods you can use to distribute the assignments to students:

    For random distribution: use Quick allocation (1). Select the assignments you want to distribute and then specify the number of students or percentage of the cohort that each should be allocated to. Make sure Allocate as work distribution is selected before clicking Save.

    For distribution to specific students: use the Allocation matrix (2) or the cells in the Assignment column (3) of the table. Click Save to finish. The Allocation matrix will be faster when dealing with large cohorts, and also allows you to export/ import an Excel spreadsheet if working offline is preferred.

Deleting and/ or Replacing an Assignment

Important: exam papers and assignments can only be deleted and/ or replaced before the participation period/ start date of the flow. Once this date/ time has passed, it is no longer possible to change the attached exam paper or assignment!

Deleting a FLOWmulti Assignment

  1. Access the flow as a Manager and click the To be handed out tab. Click the Manage assignments button.

  2. Click the bin icon on the relevant attached assignment. Tick the box on the prompt that appears and click Confirm to delete the assignment. You can now attach a new flow version of the assignment to replace it, as described in step 2 of Attaching an Assignment (FLOWmulti).

Deleting/ Replacing an Assignment (all other flow types)

  1. Access the flow as a Manager and click the To be handed out tab. Click the Manage assignments button.

  2. Click the Edit button on the relevant assignment. This opens the Assignment editor sub-menu. You can now either use the bin buttons (1) to delete and replace individual files in the assignment, clicking Save once finished, or you can click the delete button (2) to delete the entire assignment. If there are multiple assignments, repeat this step as necessary.

Attaching Supporting Material (Students)

IMPORTANT: Supporting material will be visible to students as soon as the flow is activated. This means they will be able to see any supporting material attached to a live flow, even if the participation start date/ time has not been reached yet.

Content should only be attached as supporting material if students are allowed to see it immediately!

  1. Access the flow as a Manager and click the To be handed out tab. You can either attach Supporting material for all, which will be visible to both students and staff (i.e. markers, moderators, external examiners) or Supporting material for participants (students) only. It is recommended to use Supporting material for all.

  2. Click +Add files or +Add link as needed to add the content that should be shared on the flow. Remember that this will be available to students immediately after the flow is activated, even if the start date hasn’t been reached yet!

Attaching Additional Material (Staff Only)

These steps can be followed to share additional content on the flow which should only be seen by other staff members (i.e. markers, moderators, external examiners). Content uploaded here will become available as soon as the flow is activated, even if the marking period has not started yet.

  1. Access the flow as a Manager and scroll down to the Marking and review panel. Click Manage material.

  2. On the screen that follows, you can click Add file (any file type) or Add link as necessary to add content, either as Marking guidance or as Other material.

  3. When adding a file or a link, it is available to all staff by default. You can additionally specify whether only certain Assessor (Marker) types should have access, or whether it should be made visible to Reviewers. Click Save to finish.
