Lecturecast October 2017
The Lecturecast Scheduler can be used to schedule Lecturecast recordings for modular and non-modular events occurring
in Lecturecast enabled spaces. It should not be used to schedule special events.
This training guide describes the steps for scheduling recordings for non-modular events and subsequently managing the
recordings for these events via Lecturecast ALP.
It involves:
- Scheduling a Lecturecast recording for a non-modular event
- Editing the schedule details for a non-modular event
- Managing your event recordings
To create a schedule for a modular event, refer to the Create and Edit an Individual Schedule training guide.
The Lecturecast Scheduler should not be used to schedule recordings for special events.
Definitions
Material captured by the Lecturecast service is only intended for UCL students and should be not be shared beyond this
audience. All material captured must be accessed via an authenticated UCL login.

- Teaching events which have a module code e.g. ECON1001
- Typically part of an undergraduate or postgraduate program
- Once captured, Lecturecast recordings will be available via the relevant Lecturecast section
Non-Modular events
- Teaching events which do not have a module code.
- Typically part of an undergraduate of postgraduate program but not associated with a module code e.g. a shared or
common introductory lecture taught across multiple courses - Once captured, Lecturecast recordings of non-modular events will be available in the Personal Library of the person
who scheduled the recording - Recordings can be published from this location into any Lecturecast section on which the person making the booking
is an instructor
Special events
The Lecturecast recording system is not suitable for special events. DO NOT attempt to schedule a special event using Lecturecast.
If you have a requirement for a special event, please contact the UCL Media Production team at video@ucl.ac.uk. This team
will help you to identify the best method for capturing and publishing your special event.
- Special events are non-teaching events that are not part of an undergraduate or postgraduate taught program, e.g. an
inaugural lecture, conference, outreach events etc.
- Any special event video and content captured using the Lecturecast system will not be available to access or view.
1. Schedule a Lecturecast recording
1.1 Search for an event
1.1.1 Select the search type
Select the search type. For non-modular events use the search type: Location to search for events by room name.
1.1.2 Enter your search parameters
Enter the room name and then click the 'Search' button to view all events for the room.
1.1.3 Search results are displayed in the 'Events' tab
Events matching your search criteria are displayed.
1.1.4 Select the 'Unscheduled Events' tab
You can only create a schedule for an event with STATUS: 'UNSCHEDULED'. Select the 'Unscheduled Events' tab to
view unscheduled events for your search criteria.
1.1.5 Find your non-modular event
Use the filters to find your non-modular event.
Non-modular events do not have a Module Code.
1.2 Create a schedule for an event
1.2.1 Select an event
Use the check box to select the event you wish to schedule.
1.2.2 Select the options for your recording
Ensure the 'Auto Available' option is de-selected when scheduling non-modular event recordings. Use the check boxes
to select/deselect the capture options as required.
1.2.3 Create the schedule
Click the 'Create Schedule' button.
1.2.4 Acknowledge the confirmation
Click the 'OK' button.
1.2.5 Select the 'Scheduled Events' tab
Click the 'Scheduled Events' tab to view the event you just scheduled.
Use the filters, if required.
2. Edit the schedule details
2.1 Select an event to edit
You can only edit one schedule at a time. The edit option becomes unavailable if you have more than one event selected.
2.2 Open the Edit Schedule screen
Click the 'Edit Schedule' button to open the Edit Schedule screen for the selected event.
2.3 Edit the schedule details
The event will not have a Module Code. Ensure all the schedule details are correct for the recording. Once you have edited your
recording details, click the 'Save' button, then click 'OK' to save your changes.
You can edit the following for a scheduled recording of a non-modular event:
- EVENT TITLE: Give the recording a meaningful name so it can easily be found
- PRESENTER'S NAME: Add/remove presenters
- SCHEDULED RECORDING DETAILS: Change the recording duration within the room booking window using the slider
- ADDITIONAL CAPTURE INFO: Change the capture information to reflect what will be captured during the event
- AUTO AVAILABLE: De-select this option for non-modular event recordings
3. Manage your event recording
Recordings created for non-modular events are available in the Personal Library of the person who scheduled the recording.
3.1 Log in to Lecturecast ALP
Access Lecturecast ALP directly via the Lecturecast ALP login screen.
Refer to Lecturecast ALP – Logging In for more instructions on how to do this.
You can also access Lecturecast ALP via your Moodle courses and then access your personal library as described in the steps below.
3.2 Access your Personal Library
Click the 'Library' option in the task bar to navigate to your Personal Library.
3.3 Access the options for the relevant recording
Find the recording which corresponds to your event and click on the drop down arrow for that recording.
3.4 Publish the recording to a Lecturecast section
Recordings of non-modular events can be published from your Personal Library into any Lecturecast section on which you are an instructor.
Select the 'Share' option to publish the recording to a course.

Select the relevant publishing and availability options for the recording, then select 'PUBLISH' to publish the recording.
3.5 Download the recording
Recordings of non-modular events can also be downloaded and then uploaded to another media platform if required.

Up to three options will be available for downloading (depending on what was captured):
- The screen (with audio)
- The presenter (with audio)
- Audio only

Introduction
Some recordings and content are not directly uploaded to a class in a 'Course Section' page and are available in the Library of the person (Instructor) who created them.
These include:
Universal Capture recordings saved in a users Library/My Content
Captures/Recordings created for non-modular events
Captures/Recordings that are not created via the Lecturecast Scheduler
Captures/Recordings uploaded directly onto Lecturecast
Other content such as presentations and lecture materials
For this content to be made available for students to view it needs to be published to a relevant class. This training guide describes the basic steps required to publish content to a class.

2. Locate your capture in your media library

If you have entered Lecturecast (Echo360) through Moodle, you most likely follow a Moodle LTI activity link that puts you on the course section page that is associated with the Moodle course. In this case, you will need to click on the 'Library' tab to get to the Media Library page. However, If you have logged into Lecturecast (Echo 360) directly then you will be on the Media Library page already. 3. Sharing a capture with an individual Lecturecast user

You can share your Lecturecast capture with an individual Lecturecast user. On the 'Share Settings' window select the 'Individual' tab, and enter the email address of the user that you want to share the capture with.

4. Sharing a capture to a Lecturecast course section

You can share your Lecturecast capture within a Course Section, this will allow your students to view the capture if they are enrolled on the corresponding Moodle course. On the 'Share Settings' window select the 'Class' tab. On there you will need to fill in the following:
Use the course drop-down to search for your course, you can start typing your course name for your course to appear.
Select your Term.
Select your Section.
You Must 'Add a New Class' to avoid overwriting existing content in the course!
Enter a Class Name.
Enter the date, time and duration when this capture was recorded. (Optional)
Choose from available/unavailable options for students to view. You can leave content hidden and make it available for students to view at a later date if required.
Select 'Share' to publish the capture to the course section.
Once you have shared the capture within the course section, you will still need to make sure the capture is made available to the students. Please visit this wiki page 'Edit and make a capture available' for further guidance.
