Recommended browser, applications and device set up

Browsers:
When using AssessmentUCL, it is recommended that you use the two latest major versions of the following browsers:

  • Google Chrome

  • Mozilla Firefox

  • Safari

Web browsers not listed here may also be used to access AssessmentUCL, however we cannot guarantee a consistent user experience for them. Make sure that your chosen browser is up to date at all times to prevent errors from occurring when using WISEflow.

If you have a version of the browsers above that is more than two versions old (e.g. you have Safari 12 rather than Safari 13 or 14), you will need to update it or use an alternative browser.

Applications:

It is recommended that you download Microsoft Office suite (which is free to download for all UCL students) to use when completing your answer documents offline (where applicable) so that you prevent unforeseen issues with your submission. You should not use third-party or online word to PDF converters (i.e. WPS Office) when completing PDF upload assessments.

We are aware that students that are using the WPS word processor are experiencing issues when converting their answer documents to PDF; we strongly advise that you do not use this application and instead download the Microsoft Office suite (link in paragraph above).

Device set up:

IMPORTANT: To reduce the risk of connectivity issues while taking assessments on the platform, please ensure;

  • you have disabled any browser plugins (such as adblockers)

  • you are not logged onto a VPN

  • you have closed background programmes

[Back to Table of Contents]

Download Microsoft Office applications (optional)

UCL students are able to download Microsoft Office applications, such as Microsoft Word, for free here. When completing written assessments, it is recommended that you use a standard word processor such as Microsoft Word so that you can easily convert your answer document into PDF to upload to the platform (File > Save As > PDF).

Find your assessment

Step 1: Once you have logged into AssessmentUCL, you should see a list of your assessments on the home page ('Flow Overview'):

NOTE: you might not see all of your assessments at first, but they will be made available at the start of the assessment period.

  1. 'Flows':

In this section you can find a list of your assessments

  1. 'Filter flows':

here you can search for your assessments by module name, module code or assessment title

  1. Module heading:

in AssessmentUCL, the main heading for your assessment will be made up of the module code (i.e. UCLD0001) and module name - this is to indicate which module your assessment sits under / counts towards

  1. Assessment heading:

the subheading of your assessment will consist of the assessment type (i.e. Coursework), the weighting of the assessment (i.e. 50%), and the assessment code (information relevant to UCL's Central Assessment team).

  1. Start and end date:

this is where you can see the start and end date of your assessment (your assessment must be submitted by the end date shown)

  1. Assessment open:

when your assessment is ready to commence, the arrow icon will appear green. You will have until the end date of the assessment to complete your assessment.

Step 2: Click on an assessment to open up the Assessment Overview page (covered in next section) where you can find more details about the assessment and access relevant materials (i.e. exam paper, submission instructions etc).

Complete the Demo Flows

It is strongly recommended that you complete the Demo Flows on AssessmentUCL to familiarise yourself with the platform ahead of completing your real assessments.

Every student has been provided with three different types of demo flows on the AssessmentUCL platform (a PDF upload, Online Exam and Multimedia upload). The purpose of the Demo flows is to enable you to practice different functionality that you might be expected to perform in one or more of your real assessments and to test your device and browser set up. These are not marked or designed to assess your knowledge of a particular subject, but to ensure that you are comfortable in this new environment.

To complete the Demo Flows:

Step 1: Log onto AssessmentUCL

Step 2: In 'Flow Overview', select 'Demo flows' button and you should see three demo flows:

Step 3: Click on any one of the three demo flows and complete the assessment. The instructions provided within the assessment will guide you on how to complete the demo flows.

Quick guide for students: PDF conversion for AssessmentUCL

[Back to Table of Contents]

Frequently Asked Questions

How should I save my document as a PDF? What should I do if I encounter issues with uploading a PDF?

It is recommended that you save your document as a PDF in either of the following ways:

You should NOT use a third party or online PDF converter as this can prevent you from successfully uploading your file and, in extreme cases, result in a non-submission.

Microsoft Word (which is free to download for all UCL students, here)

Word 2010 or newer has a PDF function incorporated. To save your document as PDF:

  • Click on File and select Save As or Export and choose where you want the file to be saved.

  • In the Save As / Publish as PDF or XPS dialog box, choose PDF in the Save as type list.

  • Click on Save / Publish

Earlier versions of Word do not come with a PDF function included.

Mac

If you are using Mac OS/X 10.4 or a more recent version, saving your document as a PDF is straightforward. Select Print as if you were printing your paper, and in the print, window select Save as PDF in the bottom left-hand corner. This converts your document into a PDF file, maintaining the layout and formatting.

[Back to Table of Contents]

I receive an error message when I upload my PDF submission, what can I do?

If you encounter an error when uploading your file/s, check the following:

  • File size? If uploading to a FLOWassign, the file size can be up to 200MB. For FLOWhandin, the total file size can be up to 5GB.

  • Browser? Make sure your browser is up to date.

  • PDF issue?

    • Try re-creating your PDF file. If possible use Word's Save As PDF.

    • If you get the error message 'dynamic annotations are not supported'. A dynamic PDF document (or a PDF with dynamic annotations) is one that allows you to interact with the file in some way, such as filling out a form or watching a video. My submission file is too large, what can I do?

Most students should be able to make their submission within the file size limits. PDF uploads allow for 200mb, multimedia assessments allow for 5GB.

However if your file is too large, you will need to reduce its file size before you can submit.

  • For PDF files, try first to reduce the size of images prior to converting your document to PDF. For Microsoft Word users, advice on how to do this can be found on the Microsoft Office website.

  • For video files, this video (7 minutes) demonstrates how to compress video files using the open-source software Handbrake. Such videos can often be compressed to around a quarter of their original size with minimal loss of quality.

How can I add handwritten responses to my submission?

You might be asked to submit handwritten responses as well as typed work. The guidance below outlines how you can include images of handwritten work as part of your PDF submission.

Additional and important steps for submitting handwritten work:

  1. Complete your handwritten responses on a clean sheet of paper using a pen (do not use a pencil).

  2. Take screenshots of your handwritten responses. The guidance below outlines the use of Office Lens. Office Lens is a Microsoft app available on Android and iOS devices that turns your camera, tablet or other mobile device into a scanner.

  3. Transfer the images taken to your computer (it is best to use your computer cable to transfer the files).

  4. Use the Insert option in MS word to insert images into your answer sheet.  It is recommended you use a blank Microsoft Word document as your answer sheet.

  5. Note that AssessmentUCL will take a maximum file upload of 200MB.

Step 1: Download Office Lens

  1. Download the app from the following app stores.

Figure 1. The Office Lens App Icon

Step 2: Open Office Lens

Once you have installed it, you simply open the app and point it at your image. The app has auto-focus (this may be dependent on your device) and edge recognition so that it will try to isolate rectangular regions of the image.

Figure 2. The main screen pre capture

You will need to practise focussing your device camera to get a good image in the correct orientation.

Step 3: Choose the mode

Office Lens has different modes suitable for different tasks. They will not all be suitable for your assessment tasks.

For anything handwritten, the Whiteboard mode is probably the best option.

Whiteboard

Whiteboard mode is suitable for taking a snap of a sketch, hand-drawn diagram, equation etc. Lens will adjust images so that backgrounds are not too bright and you can focus so as to make writing readable. This works well on both paper and whiteboards.

Document

This mode is designed to read machine-produced text. If the text is good enough quality you can use optical character recognition once it is captured.

Photo

This is for capturing photorealistic images of objects, people, scenes and so on.

Business Card

It is unlikely this mode will be useful to you. It is designed to capture contact information and store it in a Microsoft contacts database.

Figure 3. A Capture with camera button and mode choices

Step 4: Take the picture

You can use flash if you need to. Line the image frame boundary up with the region of the field that you want to capture and then use the camera button (soft or your devices) to capture.

As you move the camera to focus, Lens will try to frame objects it detects. It is best to use the camera above the object lying on a flat surface. When you have the region you want in focus you capture your image.

If you don’t want to keep the image at this stage you can trash it immediately and capture it again.

Crop

There is a crop icon that will allow you to trim anything you don’t want from your image. Since the editing features are limited and not easy to use on a small device, you will benefit from having carefully selected the correct region before capture.

Filter

You can now apply a filter to your image to improve the image or to remove colour if you only need a monochrome image. Filters can be useful in adjusting contrast. You can preview and select filters by swiping left/right and then tapping to select.

Figure 4. A capture previewing the effect of different filters

Step 5: Save the capture

Depending on the type of image captured you now have different save options.

Save your capture as an image file to your OneDrive. Login to your OneDrive on your computer to access the file.

OR

Save to your device’s Gallery. To transfer the file to your computer, use your phone charging cable to connect your phone to your computer and follow the prompts. Find the images and save them onto your computer. Alternatively, you could choose to email the images to your self from your phone but depending on the size of the images, this may take a while.

If the capture is of text, you can create a Word document, a PowerPoint document or a PDF on OneDrive, (but note, handwritten text will not always capture well).

Figure 6. Saving a capture to multiple targets including Word and OneDrive

Step 6: Insert image(s) into the answer sheet document

Use the Insert option to insert the images into your answer sheet. You can use any document for your answer sheet, Microsoft Word is recommend as it is freely available to students. For guidance on installing Microsoft Word see Microsoft software for students guide.

Office applications have an Insert tab with a pictures icon. Many other applications have means of reading an image file, but the method will vary by application.

Insert one image per page and resize if necessary.

If you are using a combination of handwritten and typed text, ensure you compile all your responses into one document/file with answers clearly labelled.

Step 7: Check the file size of your answer sheet document.

Save regularly as you add images to your answer sheet.

Ensure you check the file size. AssessmentUCL will not accept a submission if the file size is larger than 200mb. Most answer sheets, even if they have multiple images, will easily be less than this 200mb limit. However, in rare cases, you may need to compress your image file sizes. If using Microsoft Word, please see Microsoft's guide on reducing image file size.

Step 8: Convert your answer sheet document to PDF

AssessmentUCL submissions must be PDF documents. You will need to convert your answer sheet to PDF. This is easily done in Microsoft Word, simply click File and select Save As or Export to create your PDF.

Step 9: Submit to AssessmentUCL

Return to your AssessmentUCL page and upload your document. Complete the cover sheet (including UCL's Declaration of Integrity to declare your work as your own), and then click Submit

I receive an error message when opening my online assessment (FLOWmulti), what can I do?

If you encounter an error when opening your online assessment (via FLOWmulti), like the screenshot below, please check:

  • you are using a recommended browser

  • you have disabled any browser plugins (such as adblockers)

  • you are not logged onto a VPN

  • you have closed background programmes

If any of the above do not resolve the issue, attempt to start the assessment from an incognito browser.
If none of the above recommendations work, please use the Assessment Query Form (found in the overview page of the assessment, under Additional Material) to log your issue with the UCL central assessment team.

I have lost my internet connection while taking my online assessment (FLOWmulti), what can I do?

IMPORTANT:

  • Before taking your assessment, please ensure that you are using the recommended browser settings to reduce the risk of interference in your assessment.

  • If you re-establish your internet connection during the exam, your responses will be saved - there is no need to download a local copy.

  • If you are taking a Controlled Condition Exam or Quiz and the deadline has passed, you cannot upload the local copy yourself (this option will not be visible to you). In this case, please complete an Assessment Query Form. For other assessment types, please follow the steps below:

Please follow the steps below if you lose internet connection:

You will know you have lost internet connection as the following message prompt will appear:

Step 1: Raise your issue to the correct UCL support channel - see the following guidance: Support during your assessment.

Step 2: While offline, you should still be able to continue with your online assessment. You can download a local copy of your assessment (Download paper) which will record your progress while you wait for your connection to restore and wait for a response to your query.

Download Paper - This is a local copy of your exam. If this appears you are able to download a local snapshot of your paper, and is an indicator you are working offline from the WISEflow server.

No connection to WISEflow - This message will temporarily appear when you connection has been lost

Example:

Step 3: Click Download paper and you will see the download in your standard folder for downloaded files. You can keep downloading a local copy of the paper throughout the assessment while you are waiting for your internet to restore.

Note: The download is not to be opened or the contents to be amended. It includes all your progress online and offline up to the point that the copy is downloaded.

After you have downloaded your local copy you are able to upload this to either submit or carry on where you left off from.

Step 4: Upload local copy

i) Select the correct flow and see you have an option to Upload local copy.

ii) After you select Upload local copy, you will need to select Choose file and navigate to the file location

iii) After you have selected the file to upload, you may need to validate the file upload by entering the Invigilator password (if applicable) and click Validate.

iv) Now the file upload is validated, you can click on Update paper.

v) You will see confirmation of this on your flow page.

I have accidently 'Handed in blank', what can I do?

Students should avoid clicking the 'Hand in blank' option. If you are having difficulty handing in your file, check to make sure you have first uploaded the file and completed any cover sheet. You need to complete these two steps before you can submit.

If you accidently clicked 'Hand in blank', you may be able to withdraw the blank submission by clicking 'Withdraw submission'. If this option is not available, you will need to contact the staff member or team supporting your assessment.

How can I improve the anonymity of my submission?

Wherever possible, UCL operates a policy of anonymous marking of assessments. It is up to the student to ensure their submission is anonymous. For advice please see the Improving the anonymity of your submission guide.

What is included in my word count?

Please note that word counts can differ across programs; word processed documents, PDFs, and file types viewed in Turnitin will display some variance. Students are asked to declare the word count of their document in the cover sheet on WISEflow; this count will be based on the word processor you are using (our recommendation is to use Microsoft Word, free to UCL students, and to save your word document as a PDF, as third-party convertors can skew word counts).
The below table summarises what is and isn't included in the word count total for your PDF document:
