Why can’t I submit my file(s)?

The information below may be useful if the Click here to submit button is unavailable or greyed out:

Has the assessment started yet?

The start and end dates for your assessment are visible in your flow overview:

The area to upload and submit your file(s) will not become available until the start date and time have been reached.

If you are completing a FLOWassign type flow (assessment), you must upload a PDF file as the main part of your submission. You cannot only submit appendix material. Make sure you have uploaded your file in the correct place.

Have you completed the cover sheet?

Normally, cover sheets built into WISEflow will automatically be completed for you with information about your candidate number, date and time of submission, etc. If there are additional fields for you to complete, you will have an option to Fill in the cover sheet before you submit.

Some additional fields may be mandatory to complete. If there are mandatory fields, a warning message will be visible in the cover sheet area and you will not be able to submit until this information has been filled in.

Note: If a separate cover sheet has been provided to you by your department (e.g. as a Word document), you should still complete this as instructed but it doesn’t impact your ability to submit on WISEflow.

FLOWattend type flows (assessments) might be used for attendance based assessments, presentations, performances or anything else where a digital submission is not required. You will not be able to make a submission to a FLOWattend flow, but they may still be used to provide you with a grade and feedback.

I get an error message when I try to upload my PDF file - what can I do?

If you encounter an error when uploading your file(s), check the following:

  • File size? If uploading to a image-20241120-112151.pngFLOWassign type flow, the main file size can be up to 200MB. For image-20241120-112024.pngFLOWhandin, the total file size can be up to 5GB.

  • Browser? Make sure your browser is up to date.

  • PDF issue?
    - Try re-creating your PDF file. If possible use Word's Save As PDF option. 
    - If you get the error message ‘dynamic annotations are not supported’: A dynamic PDF document (or a PDF with dynamic annotations) is one that allows you to interact with the file in some way, such as filling out a form or watching a video. Dynamic PDF documents are not supported in WISEflow. If you try to upload a dynamic PDF document, you will receive an error message. To resolve the issue please follow the guidance on dynamic PDF document submissions.

How do I add handwritten responses to my submission?

We recommend that you use Microsoft Office Lens to capture any handwritten responses that need to be included in your submission. See guidance on Handwritten responses using Office Lens.

If you need to include handwritten responses in an assessment using the lockdown browser, you will be able to use the appendix manager to capture this information via a webcam on your device.

My submission file is too large, what can I do?

File size limits:

FLOWassign (PDF submissions)

  • 200MB PDF as the main submission

  • If appendix material is permitted, this can be added up to 5GB (including the main file)

FLOWhandin (Multimedia submissions)

  • Up to 5GB

FLOWassign (PDF submissions)

  • 200MB PDF as the main submission

  • If appendix material is permitted, this can be added up to 5GB (including the main file)

FLOWhandin (Multimedia submissions)

  • Up to 5GB

If your file is too large, you will need to reduce its file size before you can submit.

  • For PDF files, try first to reduce the size of images prior to converting your document to PDF. For Microsoft Word users, advice on how to do this can be found on the Microsoft Office website.

  • For video files, using the open-source software Handbrake. Such videos can often be compressed to around a quarter of their original size with minimal loss of quality. Download Handbrake from the UCL App Store or download directly from the Handbrake website.

Can I change my submission?

Normally, yes. Unless stated in your assessment instructions, a Withdraw submission button will become available once you have submitted your file(s).

A prompt will appear on the screen. Tick the checkbox and click Proceed to withdraw your submission. If the submission deadline has not passed (or if late submission is permitted), you can then add, remove and/ or replace files as needed before re-submitting. To delete a file, click the burger button and then select the Delete option from the menu.

Important: WISEflow does not retain copies of previously uploaded files. If you remove or replace a file in your submission, your marker will not have access to it.

No. FLOWmulti was designed primarily for examinations and only allows for a single submission. Once you have handed in, it is not possible to withdraw your submission.

No. These assessments are typically controlled condition examinations and only allow for a single submission.

Note: if you withdraw and resubmit your work after the submission deadline has passed, you may be subject to late submission penalties. See UCL’s Deadlines & Late Submissions policy for more information.

I’ve handed in a blank submission by mistake. What should I do?

It may be possible for you to withdraw your submission, see Can I change my submission? for more information.

If you are unable to withdraw your submission, please contact your Department for advice.

I can’t see my assessment anymore, what happened?

Why can’t I see my grade or feedback?

Make sure the flow (assessment) has ended. If you cannot see your feedback or have questions on your feedback, please consult with your Department.
