Key information
In TI2, a 'Category admin' tool (moodle-local_clc_admin) has been developed to manage the new category structure and enrolments at category level in conjunction with a 'Rollover Tool' (moodle-local_coourse_rollover) to copy course content. Deployment is planned for the 3.11.7 release with code in prod on the 12th May. Configuration & such will lead to effective go-live on the 13th or 16th May.
We need to do comms on this and provide staff training & documentation for this process.
In scope
- Deploy and configure the 2 CLC plugins in Moodle prod.
- Create new 2021-22 and 2022-23 yearly structures and copy enrolments at category level in Moodle prod.
- Remove Reset function in Moodle prod for staff.
- Devise a comms plan for staff/students
- Develop end user documentation and review current wiki pages for staff and students.
- Create technical documentation for site admins.
- Move 2022/23 courses from 'Temporary 22/23 Courses' into the new structure.
- Develop, schedule and run training sessions/workshops.
- Create and share comms about changes (Digi Ed Blog, Weekly Student Comms, Education Bulletin, UCL Staff News,Teams Channels, Moodle ticker)
- We should provide an outline of our CLC roadmap & attract feedback on the tool
- Gather feedback from stakeholders for further development.
- Sort feedback, consider it & add into backlog

Acceptance Criteria to include
The rollover tool works as expected and stakeholders are satisfied with the new end of year procedures.
Measured by stakeholders' feedback and a reduction in the number of service requests.
